Your Quotivity Onboarding Plan

What to expect, what to prepare, and how we work together.

This 6-week onboarding plan gets you from your current state to quoting faster and more accurately with minimal disruption to your team.

How It Works

Onboarding is four working sessions over 4–6 weeks. Each session is 60 minutes. Between sessions, your team completes focused homework — typically a few hours of configuration or validation work.

Quotivity leads every session and handles the initial configuration. You learn by doing, so by the time we hand off, your team owns the system.

We use a project management solution called Arrows that allows us to collaboratively work toward a successful launch. The outline below is an overview of what you’d see in Arrows.

Before We Start

The most common reason onboarding slows down is missing or unfinished inputs at kickoff. A little prep on your end goes a long way.

Assign two owners

  • An onboarding point of contact (typically RevOps or Operations) who attends all sessions
  • An internal admin who will own Quotivity day-to-day after launch

Clean up your HubSpot product library

Your products are the foundation of everything in Quotivity. For each product, confirm:

  • Name and SKU
  • Billing frequency (one-time or recurring)
  • Base price
  • Description, if it should appear on quotes

Document your pricing model

  • How pricing varies by customer type or volume
  • Any products that use calculated or cost-plus pricing
  • How bundles work — what's fixed, what's flexible

Know your approval rules

  • When is an approval required?
  • What triggers it?
  • Who approves?

Bring quote examples

PDFs, spreadsheets, Word docs — any format works. These give us a clear picture of your desired output.

Kickoff & Requirements

We review your pricing spreadsheets, product library, and existing quotes together. By the end, we have a shared understanding of your model and a clear plan for the remaining sessions.

  • Review existing quoting assets such as existing quotes and spreadsheets

Homework:

  • Finalize pricing inputs and confirm HubSpot product data

Pricing & Bundles

60 min + homework

We configure your price books, set up pricing adjustments, and build a representative bundle. You follow along and learn the patterns so you can build the rest yourself.

Rules & Approvals

60 min + homework

We configure quote rules and set up your approval process. You test the behavior with your internal stakeholders before the next session.

Quote Template

60 min + homework

We configure a Quotivity quote template and walk through how to maintain and extend it using HubSpot CMS. Custom design work (branding, custom HTML/CSS) is out of scope, but we'll point you to the right resources if you need it.

  • Refine the template and flag any design needs

Enablement & Handoff

30–60 min

We wrap up the onboarding by reviewing your quote templates and documenting the remaining activities needed to finish your Quotivity rollout, if any. By the end of this process, your team should be confident in its knowledge of Quotivity’s features, and capable of maintaining your solution independently.

What's Out of Scope

To keep onboarding focused and on schedule, the following are not included:

  • Custom quote template design (branding, layout, CSS)
  • HubSpot CRM administration or data cleanup
  • Custom functional extensions to templates
